When you need it

If you control the operation of an air conditioning system with an effective rated output over 12 kW, you must have it inspected by an accredited energy assessor at intervals of no more than five years. Where you control several units in one building, they count as one system, so a number of small units can add up to more than 12 kW.

The person responsible is usually the building owner, but it can be a tenant or a facilities manager, depending on the lease or contract. The report must be lodged on the national register, and a new operator who takes over a system without a report must arrange an inspection within three months.

Gathering maintenance records, previous reports and system details before the visit helps the assessor complete the inspection.

What is included

Included

  • Review of maintenance records, commissioning information and previous reports
  • Inspection of the accessible parts of the system to the CIBSE TM44 method
  • Assessment of efficiency and sizing against the cooling the building needs
  • Report with advice on improvement, replacement and alternatives, lodged on the register

Priced separately

  • Servicing, maintenance or repairs
  • Replacement or upgrade of equipment
  • Commercial EPCs and DECs

Your written quotation confirms the exact scope, what is included and any limits for your building.

What you receive

An air conditioning inspection report, lodged on the government register, assessing efficiency and sizing and giving advice on improvements. Keep it on file, as enforcement officers can ask to see it.

Sent as a PDF for your records. We can send copies to tenants or agents on request.

Our reports support your duties as owner, landlord or responsible person. They do not replace those duties.

How to prepare

  • Building address and a contact who knows the plant
  • A list of air conditioning units, with make, model and rated output if known
  • Maintenance and service records
  • Commissioning details and operating manuals, if available
  • Your previous inspection report, if any
  • Access to indoor units, outdoor units and controls

Send what you have. Missing details will not stop an enquiry; we will tell you anything still needed.

Questions

Does my system need an inspection?

If its effective rated output is over 12 kW, yes. Where you control several units in the same building, their outputs are added together.

How often is it needed?

At intervals of no more than five years. The date of your last lodged report sets when the next one is due.

Is this the same as servicing?

No. The inspection looks at energy efficiency and sizing and gives advice. Routine servicing and repairs are separate.
